Why Register?

Registering your production on the ScreenSafe website is a crucial decision that ensures smooth communication, accountability within your production management team, and demonstrates your commitment to screen industry safety.

The Production Registration form gathers basic information at signup including:

  • Production name
  • Production Company Name
  • Dates of pre-prod, production and wrap
  • Contact person details & role
  • Production Office Address
  • Basic production information ie: production type, locality status, long or short form etc
  • A list of the Producers
  • The names of the Crew Reps
  • The name of the H&S Manager

Once registration is complete, a ScreenSafe Seal and Production Registration Number is issued via email which can be displayed on the call sheet if you wish. This demonstrates that your production has been Registered.

Logging your Production

Log your production with ScreenSafe to comply with Screen Aucklands' permitting conditions.

Save ScreenSafe H&S Safety Guidelines directly into a Production Profile:

When a production has registered, they login and hit "save" on any relevant ScreenSafe Safety Guidelines found in the Guidelines section to save them to their production dashboard.

These guidelines will also be automatically added to the “Crew Information Pack” and can be easily shared with crew.

This saves the time and repetition of browsing the guidelines, allows for productions to personalise each production they work on, and then pro-actively share any identified areas of safety consideration with crew.

This ensures crew are fully informed of any recommended safety reading.

Storage and Distribution of Important Production Information to Crew:

Inside your Production Dashboard look for the "Shareable Production Documents" tab. This is a space you can upload and store essential crew information relative to the production. This can be then be shared with crew via a single URL link.

You can share:

Relevant Safety Guidelines:
Hit “save” on any production relevant guidelines in the guidelines section to add them to your Crew Information Pack.

Crew Rep and Safety Manager name and email addresses:
Add these details to your dashboard and they will automatically be added to the Crew Information Pack.

Other supporting documents or H&S policies:
Any other documents you wish to upload to your "Shared Production Documents" area in your production dashboard will be automatically added to your Crew Information Pack. (see section below for guidance)

To share your Crew Information Pack:

Navigate to your "Crew Information Pack" tab within your account dashboard, view your collection of shareable material and set a password to generate the URL link. Forward this URL link with the password to crew so they can access the information you have assembled.

The password protection on the Crew Information Pack ensures only those with an approved password can access this information. The password can be changed at any time.

What Supporting Documents can I Upload?

Productions can upload all relevant policies and procedures, such as those addressing bullying, harassment, and codes of conduct and any other documents that support your crew contracts. These could include:

  • H&S Policy
  • Bullying and Harassment Policy
  • Bullying and Harassment - Method for Raising and Responding to Complaints
  • Production Code of Conduct
  • Disputes Resolution Process and Procedure
  • Drug and Alcohol Policy
  • Vehicle Usage Policy
  • Non-Disclosure Policy
  • Copy of Crew Contract


Upload these policy and procedural documents in the "Shared Production Documents" area to add them to your Crew Information Pack. Deliver these documents to crew easily via a single URL link to ensure all crew receive copies of important production information and any annexes to their crew contracts - as required by the SIWA law to avoid incurring penalties if disputes arise.

Access Permissions

You can grant authorised access to your production account to key production and safety personnel, such as the Safety Manager, Crew Representatives, Production Manager, or Producers, allowing multiple authorised individuals to manage the account. This ensures seamless oversight, reduces administrative bottlenecks, and enhances efficiency in maintaining safety compliance. Add Authorised individuals in the Access Permissions are of your dashboard.

Confidential Information Storage:

Any information uploaded and stored within a production registration profile (excluding the basic production information gathered via the initial registration process) remains confidential at the production access level only - unless you choose to share your information with ScreenSafe.

Speak with the ScreenSafe team if you would like to share your information with us and an access request email will be sent to you to enable the required permissions.

Data Security:

We use services that are SOC2 Type 2 compliant. This is an important security policy when handling sensitive customer data.

All customer data is encrypted at rest with AES-256 and in transit via TLS. Sensitive information like access tokens and keys are encrypted at the application level before they are stored in the database.

Data security is certified as fully compliant with the PCI DSS. The PCI DSS covers 12 major categories of information security, including network design, data storage, intrusion monitoring and the use of security-aware IT policies.

COMING SOON - Incident Reporting Portal:

ScreenSafe's online Incident Reporting will provide local and international productions with a formal process of H&S record keeping that aligns with the New Zealand Health & Safety at Work Act 2015. The online forms will allow instant reporting of any areas of issue that may arise. Incidents can include situations such as:

  • Near Misses
  • Incidents that halt operations
  • Incident investigations
  • Illness or Injury - serious or minor
  • Register of Safety Hazards
  • Bullying or Harassment
  • Serious Complaints

A universal Incident Report form is being developed which includes smart automation allowing the form submitter to tailor the form to each specific category of incident and required content fields.

Once a report has been filed to a production profile, it is given an Incident Report Number generated by ScreenSafe. Reports once created can be updated and edited by approved personnel or account administrators as incidents progress and resolutions are developed.

A quick-view Incident Report Summary will be available for download from the Production Dashboard. This provides less detailed information and allows Producers to rapidly view the number of incidents that have been reported and whether the incidents have been deemed as resolved or are still active.
